Job Description

Ultimate Staffing is seeking a Payroll Specialist to join a client in Fremont. This position is 100% onsite. This is a contract position lasting approximately 3 months. This is a part time position with about 20 hours a week, but the client is open to a 40 hour work week as well.

Position Summary

The Payroll Specialist is responsible for processing accurate and timely payroll for all employees while ensuring full compliance with federal, state, and local regulations. This role plays a key part in supporting payroll operations, audits, and reporting while partnering closely with HR, Finance, and external vendors to maintain data integrity and deliver exceptional service to employees.

Job Duties:

  • Process payroll accurately and on schedule, ensuring all tax withholdings and deductions are correct.
  • Ensure compliance with all payroll-related federal, state, and local laws and reporting requirements.
  • Conduct regular audits and prepare reports to support internal controls and year-end activities (e.g., W-2s, 1095-Cs, 1099s).
  • Collaborate with HR and Finance to resolve payroll discrepancies and support internal and external audit processes.
  • Manage benefit deductions, garnishments, and retirement plan contributions accurately.
  • Coordinate with third-party vendors and government agencies (e.g., 401(k), FSA, HSA administrators) for timely and accurate data exchange.
  • Support multi-state and/or international payroll processing as needed.
  • Participate in payroll system upgrades, testing, and cross-functional improvement projects.

Requirements:

  • Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.
  • 3-5 years of payroll experience, preferably in a multi-state environment.
  • Hands-on experience with Workday Payroll module (required).
  • Proficiency in payroll systems (e.g., ADP, Workday, Ceridian) and Microsoft Excel.
  • Strong understanding of payroll laws, tax regulations, and compliance requirements.
  • Excellent attention to detail, analytical thinking, and communication skills.
